Employer-funded health screening: who sees your results?

If my employer pays for screening, who sees my results?

Payment does not by itself answer who may receive your medical information. Before screening, ask who receives the clinical report, what the employer receives, and what would be shared only with your agreement or another lawful justification. A benefits invoice and a medical report are different things.

Agree the information flow before testing

The ICO says workers should be told from the outset how occupational-health information is used, who may receive it and why. Unless told otherwise, people are entitled to assume that information given to a healthcare professional remains confidential. Ask for the arrangement in writing, especially if an external provider, insurer or benefits platform is involved. [1]

What HR needs may be narrower than a medical report

In an occupational-health setting, the ICO says medical details should be available to managers only where necessary for their responsibilities, with access kept to a minimum. For a screening benefit, an employer may need to know that a benefit was used or an invoice is payable. That is not the same as needing every blood result or the details of a consultation. The actual scheme should explain the distinction. [1]

Health information receives additional protection under data-protection law. The ICO cautions that consent can be difficult in employment because of the power imbalance: a worker may fear a penalty for saying no. It gives a genuinely optional staff screening scheme as an example in which consent may be considered, provided there are no adverse consequences for refusing. Do not treat a tick box as a substitute for that genuine choice. [2]

Questions for employees

Who receives my full report? Can I use a personal contact address? What information goes to HR or a manager? What happens if I decline a test or the whole benefit? How do I arrange a private follow-up? Can I read the privacy notice before booking? These questions are ordinary preparation, not a sign that you are being difficult.

Questions for founders and benefits teams

Separate the clinical relationship from benefit administration. Describe what you need to know and why. Avoid asking for an entire record when a narrower answer serves the purpose. If aggregate reporting is offered, ask how small groups and unusual findings are protected against identification. Do not promise anonymity simply because names have been removed. [1,2]

Screening and occupational health are not interchangeable

A voluntary health check and an assessment about fitness for a particular role can have different purposes and reporting arrangements. Ask which service is proposed. Buying one does not automatically provide the other. If workplace adjustments or an employment decision may follow, make that purpose clear before information is collected.

Build the programme around trust

If you are arranging employer-funded assessments with The Online GP by The Wellness, ask for the proposed clinical scope, employee communications and report recipients before launch. Employees should understand the pathway before they attend. This article explains general principles, not the terms of a particular company scheme or individual legal advice.
